How to upload the PF ECR file on the EPFO portal
ECR (Electronic Challan cum Return) is the monthly PF return file. You upload it on the EPFO Unified Portal and then pay the challan. This guide shows the steps.
Before you start
- Close and check the month's salary for all workers
- Make sure every worker has a UAN (Universal Account Number, the worker's PF number for life)
- Check that each UAN is linked and KYC (Aadhaar, bank and other ID details) is done
- Keep the employer login for the EPFO Unified Portal ready
- Have the ECR text file ready for the month
Do this well before the 15th. Last-day rush makes mistakes more likely.
What the ECR text file holds
The ECR is a plain text file. It has one line for each worker. Each line holds these details:
| Detail | What it means |
|---|---|
| UAN | The worker's PF number |
| Name | The worker's name, as in PF records |
| Gross wages | Total pay for the month |
| EPF wages | PF wages used for the 12% share |
| EPS wages | Wages used for pension, up to ₹25,000 |
| EDLI wages | Wages used for insurance, up to ₹25,000 |
| Contributions | Worker share, EPS share and employer EPF share |
Example: a worker with ₹18,000 PF wages. EPF, EPS and EDLI wages are all ₹18,000. Worker share is ₹2,160, EPS is ₹1,499 and employer EPF is ₹661. For a worker above 58, there is no EPS, so the full employer 12% goes to EPF.
Steps on the EPFO portal
- Log in. Open the EPFO Unified Portal and use the employer login.
- Open ECR filing. Go to the ECR or Return Filing menu for the wage month.
- Upload the file. Pick the ECR text file from your computer and upload it.
- Verify. The portal checks the file. Look at the totals and fix any errors it shows.
- Prepare the challan. Once the file is accepted, make the challan (the payment slip) for the month.
- Pay online. Pay the challan online. Save the receipt with the ECR file.
Menu names on the portal can change. If you cannot find a menu, look for the ECR or return filing section.
Common mistakes and how to fix them
| Mistake | How to fix it |
|---|---|
| UAN not linked, or KYC not done | Finish the worker's UAN and KYC details first. Then upload again. |
| Wrong wages | Check PF wages are Basic + DA plus any 50% rule add-back. EPS and EDLI wages must not go above ₹25,000. |
| Wrong file format | Upload the plain text file, not the Excel. Do not open and save it in Excel, as that can change it. |
| EPS for a worker above 58 | Set EPS to zero. Put the full employer 12% in EPF. |
Due date and the September 2026 split
Pay and file by the 15th of the next month. For example, October wages must be filed and paid by 15 November.
The PF wage ceiling (limit) went up from ₹15,000 to ₹25,000 on 17 September 2026. So September 2026 is split:
| Dates in September 2026 | Limit to use |
|---|---|
| 1 to 16 September | ₹15,000 |
| 17 to 30 September | ₹25,000 |
Check the EPFO website for how to show this in the file. Check with your auditor if you are unsure. To work out the amounts, see how to calculate PF for contract workers.
Get the ECR file ready every month
ContractPay makes the PF ECR text file from the month's approved salary, plus an Excel so you can check it first. You still log in and upload it on the EPFO portal yourself. See PF and ESI software for contractors.
Questions people ask
Can I upload the ECR as an Excel file?
No. The portal takes the ECR as a text file. Use an Excel only to check the figures before you upload.
What is the last date to file the ECR?
File the ECR and pay the challan by the 15th of the next month.
Why is a worker's line rejected?
Often the UAN is not linked or KYC is not done. Wrong wage figures can also cause errors.
Do I pay after uploading the file?
Yes. After the ECR is accepted, prepare the challan and pay it online on the portal.
