Excel vs payroll software for contractors

Most contractors start payroll in Excel. That is fine for a while. This guide gives a fair look at both, so you can decide when to stay and when to move.

What Excel does well

Excel costs you nothing extra. Your staff already know it. You can change a sheet in a minute when a client asks for something new.

For a small team at one site, a careful person with a good sheet can do payroll well. If that is you, there is no hurry to change.

Where Excel causes trouble

  • Broken formulas. One wrong drag or deleted row can change many workers' pay. Nobody may notice.
  • Copy mistakes. Copying last month's sheet can carry old days or old rates into the new month.
  • Too many files. Each site and each month is a new file. Finding an old month takes time.
  • PF and ESI files by hand. The ECR (the monthly PF return file) and the ESI file must follow a strict format. Typing them by hand leads to upload errors.
  • Hard to check. Payslips, wage register and client bill are often made in separate sheets. They may not show the same numbers.

Who can stay on Excel

You can stay on Excel if most of these are true:

  • You have very few workers, at one or two sites.
  • One careful person does payroll and knows the sheet well.
  • Pay rules are simple and do not change often.
  • Your PF and ESI uploads go through without errors.
  • Your client does not question your bill or register.

Signs it is time to move

  1. You add new client sites, each with different rates.
  2. Payroll depends on one person, and nobody else can do it.
  3. You find pay mistakes after workers are already paid.
  4. PF ECR or ESI uploads fail often.
  5. Clients find that the bill and the wage register do not match.
  6. New rules, like the ₹25,000 PF ceiling or the 50% wage rule, mean many sheets need changes.

If two or three of these are true, it is worth trying software. Try it with one site first, next to your Excel. Compare the results for one month before you switch fully.

How ContractPay can help

ContractPay keeps all client sites in one login. It checks attendance before you approve the month. It makes payslips, the bank file, the PF ECR file and the ESI file from the same salary. Price is ₹40 per live worker per month up to 100 workers, and lower for more workers (GST extra). There is a 30 days free trial. See contract labour payroll software.

Questions people ask

Is Excel wrong for payroll?

No. Excel works for a small team if one careful person keeps the sheet. Trouble starts with many sites, many files and hand-made PF and ESI files.

Can I keep using Excel for attendance?

Yes. Many client sites send attendance in Excel. You can keep that habit and still move the salary work to software.

How much does ContractPay cost?

Up to 100 workers it is ₹40 per live worker per month. It is ₹30 for 101 to 300, ₹25 for 301 to 1,000 and ₹24 above 1,000. GST is extra. No setup fee.

How do I move from Excel safely?

Start with one site. Run Excel and the software side by side for one month. Compare the figures, then move the other sites.
